Comments: Vcita has seriously freed up so much of my time with the automation and client portal. Now the client no longer have to call for a copy of their documents, they can just login and grab

What vCita Has Done for Us

Comments: Our experience has been great! We've been using vCita for approximately 10 years, and it's the best decision we've ever made.

Pros:

vCita is my one-stop solution to marketing, booking, and collections. They've made it so easy that now I can just concentrate on what we do as a business and don't have to think about anything else. They are an integral part of our success.

Cons:

There are no negatives. My only concern is what would I do if vCita ever went away!

Vcita is THE BEST!!

Comments: Overall, vcita has been a huge help to my business. I can easily add, change and remove appointments. I can be in touch with clients, and they can easily reach me. That is so important to my business.

Pros:

I love the calander and the fact that reminders go out to patients automatically once tgeir appointment is in the calander. I also like the email feature that allows me to stay in touch with my patients. Lastly, I receive messages fron new and existing patients immediately, which allows me to respond to right away.

Cons:

Occasionally, a patient will try to cancel an appointment through the app and I overall, vcita will not get the message.

Love using vcita

Pros:

Easily syncs with our Gmail and Google Calendar for the entire team.

Cons:

Vcita is a great option

Pros:

Vcita offers many great features. I was eager to user the software because it truly is an all in one business management software. It offers payment collections that can be linked to my paypal and stripe accounts. It also allows my business to schedule appointments integrated via my google account.

Cons:

Although the features are worth it, The almost $60 price point is simply not feasible for my business at this time. The free trial however was a nice introduction to how Vcita can a improve my business.

Comments: I needed a way for a small team to organize group classes, private appointments and lessons, communications with clients, and invoicing all in one tool. This does almost 95% of what I need, in one location.

Pros:

It contains all of our client information, calendar, scheduling, document sharing, invoicing and payments all in one convenient tool.

Cons:

When there are issues, they are usually epic and the support team isn't quick about fixing them (if they get fixed at all). The Marketing tool is very basic and isn't 'pretty' enough for my monthly marketing Newsletter.

Great Robust Scheduling & Invoicing System

Pros:

I needed software that could both schedule 1 to 1 services as well as group events. VCITA does both. I like that the appointment reminders can be customized.

Cons:

In the past I've had patients have trouble with rescheduling an appointment but this hasn't been an issue recently.

Comments: I was using acuity but looked for other software, because of hippa option. I was ecstatic to see the client portal, unfortunately it is not optimal. Most features however aren’t hippa compliant. Really I only use client portal for scheduling and share patient handouts. Patients don’t have to log in like other apps, as it recognizing emails.
Overall I do think it offers more than competition , but make sure you try every part to see what works for you and what doesn’t. Also customer service must be more present. Even after you pay they limit features until you use for a while , which is ridiculous.
They will be better if they make conscious effort to improve

Pros:

Able to customize scheduling page to be more professional and to distinguish services offered. Like the idea of client portal. Clients can go to portal to pay , schedule and can share documents. Works for me who share patient education handouts.

Cons:

Some additional features are really glitchy and most features of the client portal I can’t use. When customers pay online , they are not taken to confirmation page or automated message . Messaging IS NOT secure , sometimes links In messages, don’t work. Documents are not secure. So since I’m using for health business, I had to get another program for secure messaging . Customer service good when you can each them, there is a 2 hour window only to call in a 24 hour day. Chat is not always available during business hours. It’s even worse if you are on east coast.

Good with some need improvements

Comments: Being able to communicate with client with ease. I like it and thinks it works well.

Pros:

The ease of the software. The way you communicate with clients.

Cons:

Would be nice to be able to create a web form with hyperlink to use on my website that integrates information to clients on portal. Compares to a Microsoft form. More control of the setup of the dashboard. Text messaging should be included and unlimited. Able to setup reoccurring payments from clients through system.

Comments: I love it, I would like to do some further customization and I fee it is missing a few things but as we all grow including Vcita I am over all impressed & I have used many of these programs before in my 25yrs.

Pros:

I love the ease of this software, the set up was also streamlined

Cons:

The Invoicing, I have been on this for almost 2 years and am still not using this feature , partially my fault for not getting the training yet.

Comments: Overall, I am very happy with this software program. It has continued to evolve in the most positive ways over the years.

Pros:

This software is easy to use and reliable. When a glitch occurs (rarely) support is quick to help resolve the issues. Also, time zone converter is critical as I hold Zoom meetings all over the world!

Cons:

I don't like that you have to pay extra for text reminders

Excellent Software - lousy service

Comments: If you never have to deal with their customer service and they never go down, I love the program and would recommend it from that perspective. Its a clean design and offers me all I need at a good price point. I've been a customer for 5 years and I really want to keep using them but I just can't afford to be down as often as I am. Customer service makes a business and Vcita is just so lacking in customer service, it is so disappointing. I don't want to spend hours on end finding a replacement program but after being down 3 times in less than 2 years I am getting tired of fighting with their people to take ownership and fix their issues. My plug in from them runs on Wordpress. When you can't fix the Vcita plugin for Wordpress in 6 weeks I think you've got some bigger problems.

Pros:

Vcita drives all of my business. I get all of my prospects and sample coaching sessions through Vcita. It is the life blood of my business. The pop up widget on my website is the driving force, the scheduler is easy to use and I like the CRM for tracking appointments, correspondence and client information. The price is very reasonable at around $140 USD a year.

Cons:

THEIR LACK OF CUSTOMER SERVICE!!! As I said they are the life blood of my business but this is the 3rd time in less than 2 years my pop up is not working and neither is the scheduler. For over 6 weeks now! No Vcita no business for me. They have no live support, I've hated this from day 1. Email only. And they often take days on end to reply. I am so tired of "our developers are working on it but no ETA." Then why are you charging me!

Comments: Having been a customer for several years, vCita offered an all-in-one solution that few others compared to at the time. However, very little has changed in the last 3 years other than some unnecessary aesthetic updates and very minor enhancements. I got on board fully aware that there were several missing features I needed which were on the top of the feature request list and I put in place workarounds to suffice until these features were going to be implemented. I'm talking about pretty fundamental things, like the ability for online payments to be accepted with sales tax automatically calculated, and add-on/bundled products/services. Instead of the development team addressing critical upgrades the community is begging for, we get branding updates, color scheme changes, and random issues where things that have always worked fine no longer work properly.
Customer service is all but useless, and I constantly get the feeling their priorities lie in marketing the outdated product they have rather than improving it.
If you try the product and feel that it accomplishes 100% of what you need it to do, go for it. But if you find that it looks great but misses the mark on a few key areas, don't jump on board hoping it will be addressed in the next decade. Keep looking. I'm done waiting.

Pros:

Relatively easy to use and deploy. Client interface is mostly intuitive and easy to use.

Cons:

Product development is nonexistent. Customer support is a joke. On the rare occasion there is an update, I find something on my website no longer works, instead of being improved.

My admin and I have several hours of additional productive time!

Comments: I save at least 1 hour every week, and my admin saves 2-3 hours every week . This means that our team gets a lot more done in a week than was possible with vCita.

Pros:

+ Ease of use - this tool is very easy to use for me, and my clients love it for the easy of use. + HUGE Time Savings - I have spent no time scheduling meetings this year, and my admin has spent less than 30 minutes. + Mobile interface - including a simple app, and SMS reminders + Overall cost + Customization + Record-keeping - I can easily search the meeting history for any of my students

Cons:

- Cost of SMS packages - I stopped sending reminders because it was not a great cost-benefit ratio. - Lack of group-scheduling feature.
