The system is easy to use and configure and the support team is generally very pleasant to deal with.

Cons:

Loading a form can take over 30 seconds. In addition there are a lot of frustrating issues in the designer: its not possible to modify or even to check the settings on references.

Promapp as the leading business processes mapping tool

Comments: The main business problem Promapp resolves is that it brings the visibility for cross-functional teams to see different processes and how they are related to each other.
Previously the processes were stored in different locations (SharePoint, shared drives, local drives) and mapped in different tools (Excels, Words, Visio diagrams, etc.). Promapp allows to store the processes in one place, which makes global visibility for the company.
Also, the application has an exceptional and fast-case-resolving support team. The team provided me with numerous help and workarounds in a timely manner.

Pros:

I think that the best thing about Promapp is its simplicity. A few hours of training allows to create your first business processes. All features are very easy to find and use, which makes Promapp perfect tool for the majority of end users.

Cons:

I could not find the option to bulk import/export larger number of processes at one click. I participate in a project of migrating 100+ processes from another tool to Promapp and such a feature would really save me some time.

Scalable Product

Comments: Outstanding.

Pros:

Nintex neatly fills the gap between SalesForce and emailing a colleague... where a full scale workflow manager is overkill... but unmanaged communication isn't cutting it. For setup, Nintex eschews coding in favour of graphical workflow setups. Each node on the workflow as modular attributes and options that affect how the system works; as the administrator, it bridges your abstract workflow designs with implementing this product 1:1. The user experience is wild: if you implement this product properly, users will *never even know* they're using a workflow manager. Nintex's outputs are sent to users by email; users reply to that same email with custom action words like "approved" or "rejected" which pushes tasks or files to the next steps of the system. I have a lot of experience for technophobes and 'computer challenged' people... Nintex's genius is in talking to those end users like a memo from 1992.

Cons:

The product is priced according to the number of workflows, not the number of users. It can be difficult to sell this product in small companies where the ROI is skewed by few users/ numerous workflows. For numerous users/ moderate workflows, this product sells itself.

Good product with poor account management

Comments: This review is for the Nintex Workflows on-prem server licenses. It does a better job than SharePoint Designer on the process automation in SharePoint and different applications/servers. However, due to the drama on the account management side and the higher pricing to the cloud, I will not consider implement it in the cloud environment.

Pros:

The workflow design canvas also works as a documentation platform for the project release or even the audit review. With the purchase of license, we can create unlimited workflows with the old pricing model. We learned the new subscription model prices based on the number of workflows on the cloud, and the price is higher than what we would like to afford. I am glad that we only use Nintex Workflows in the on-prem environment.

Cons:

The thing that I dislike Nintex most is their horrendous customer service. Within a year of the license purchase, I have been contacted consistently with 6 different account managers and ALL of them wanted to know our company and learn how we used Nintex!?! Initially I talked to them, then I realized every of them is new to Nintex and I just kept repeating the same conversation to different account manager! This company has high employee turnover rate and is very unorganized. They provided me a wrong quote and blamed it to an employee no longer with the company. Though the quote had not expired, Nintex refused to honor it. After we paid. the tech support also issued our renewed server licenses to a wrong person... There is so much drama on the account / license management side of Nintex, which really ruins the reputation of their products.

Easiest software I've ever used

Pros:

The software itself is incredibly intuitive and easy to navigate and use. You can pretty much follow your nose to enter your processes in Promapp within no time at all. Of course you need to map out the process in the format of activities, tasks, notes and attachments first - that's the hardest part. Entering it is quick and easy.

Cons:

Not being able to go back to iterative versions of a process, particularly in the early stages before the first publish. Only published versions can be viewed and restored.

Nintex used to be a usefull and stable system for the money

Comments: We did integrate a lot of processes into SharePoint. this was easy and very visable.
Due to pricing increase we are forced to leave this nintex system and look for an alternative system.

Pros:

- Easy to use - Good customer support - Good functionality across the microsoft platform - good visualization of the flow

Cons:

- We started useing the Nintex license for a normal license pricing based on number of users. This year they changed the pricing strategie depending on number of workflows. - This increased the price by 10X - This is no longer the correct price for the system, this is no longer a correct pricing. - it is not possible to print out the flow

To Promapp or not to Promapp

Comments: We got Promapp for a 14,000 employee organisation that operates in the early education industry. This organisation did not have any business processes in place, documents stored in various places, experienced a high rate of staff turn-over and with it knowledge retention was a challenge. For this organisation to maintain its operations, it needed a simple, intuitive solution that would help in bringing policy, procedures, processes, glossary, roles and responsibilities and systems list together and make it accessible at the fingertips of all of its employees across Australia.

Pros:

Simplicity, ease of use, usefulness, cloud-based, friendly staff, connecting processes and documents, security groups and elements connectedness.

Cons:

Pricing, support, understanding of staff of BPM to provide better guidance and fit for purpose advice.

Comments: Both Nintex Form & Workflow design and development is very user friendly including the deployment too...

Pros:

Creating complex custom forms using Nintex is very easy and user friendly...a Layman can also build the form easily...

Cons:

Many time the workflow didnt trigger immediately and it will take few minutes and says it is in queue...

Best Business Process Automation Tool

Pros:

Nintex is so easy to understand and pick up. Anyone form a BA to a dev can pick this up and build workflows, forms and even mobile apps without writing code.

Cons:

Each product is different. You have thing on prem, that are not in O365 and things in the cloud that are not on-prem.

Comments: Nintex has given us chance to be more gainful. Pros:

The extensive variety of work process ability which encourages incredibly to decrease customization in SharePoint. K2 is THE clear choice for a workflow product

Comments: I am not connected in any way to K2 .. I just use their toolset. I have been a contractor for a number of years using the K2 toolset and have had to contact K2 on behalf of many customers, to resolve issues etc. The K2 technical and business support is excellent. Whether it is a business or a technical question that you have, K2 respond quickly and effectively.

Pros:

As a workflow tool, i cant ee anything else in the market that compares. The workflow functionality encompasses just about everything i have need in several years of usage. Couple the workflow with the integrated forms (user screens) functionality and you have a great product set that can also integrate with just about any other product - out of the K2 box. Add SQL Server and PowerBI - and you have a product set that you can satisfy nearly any business application requirement that is given to you. You worry about scalability with alot of the drag and drop tools, but K2 perform excellently, running 1000s of workflows a day and hundreds of users on K2 'Smartforms' You can create 'wizard' type applications with Next, Next Next clicks .. or you can build your application from scratch. K2 Support is Excellent! very responsive, and they see the issue through to resolution. I have used the K2 toolset for several years with many different customers it is a great toolkit for use throughout all areas of a business.

Cons:

I would like to see a community version of the product launched, that allows anyone to use the product for free for educational and small businesses. Bring more people into the K2 world, its good software, make it more available.

NO CONTEST - seriously

Comments: My background: 3 years embedded 24/7 in the Nintex on-prem toolset building custom solutions in the financial services industry. During that time, Nintex became my go-to toolset for accomplishing the impossible. I was appointed to my current consulting position primarily as a result of that experience, and have functioned as a subject matter expert in this environment ever since. Nintex has recently been placed under pressure from PowerApps & Flow, but Nintex outstrips every other offering I've ever worked with in the automation game. No other product I've tried can handle the level of complexity Nintex handles with ease. Companies evaluate automation purely on price point, but they are unaware of the hidden costs PowerApps & Flow bring about. For example: if you want to roll out an app to the entire enterprise and all your clients, it would cost you 1 Nintex form and 1 workflow because the product is powerful / stable enough to combine the output of a dozen Flows into a single Nintex workflow, but if you build the same app on PowerApps / Flow, every single user needs to be individually licensed for those products. Bye bye cheap licences for non-power-users. This little nugget is seldom shared with people who hold the cheque books. Please share this with them, very loudly and from all the roof tops.

Pros:

Its sheer, unadulterated power. I've built single Nintex workflows where a dozen Flows couldn't do the same job in the same time, with the same level of efficiency. I also found it far easier to learn than Flow - I still hate that POS. It's hands-down the most efficient automation toolset I've ever used.

Cons:

It's obviously difficult to match the on-prem power in an O365 world and there are functions in the on-prem space I'd dearly love to see duplicated across, but we all know that everything has an opportunity cost. In order to get some of the awesome new functionality in the O365 space, some of my favourite toys may need to be sacrificed.

Promapp brings processes to the people

Comments: Using Promapp has been an eye opener for how simple things can be and it is not just about the software itself but also the company culture and vision. It is clear why Promapp are in the market and what they want to achieve with their product so it breaths simplicity, collaboration and continuous improvement. As a process professional with many years experience in BPM it can be a mindset change but you quickly realize the tool is for the people working in the processes and not just for us process nerds. You can tell Promapp has been built for high usability and is aiming to bring processes to the people and not the other way around and to make processes fun as sharing and collaborating around processes is exceptionally easy and works in a social media style that everyone knows how to use. Integrate with SharePoint, share links to the processes with customers and suppliers to increase collaboration and with a feedback feature you get improvement ideas right into the tool, it is so much easier and better than before. Creating and maintain processes is very intuitive and whenever you are in doubt there is great support videos to guide in process mapping techniques and how to use the tool. Another key feature is the governance part where the process owners and stakeholders get control over all process they own or are involved in, be notified if something changes and can in one view answer questions as; Are the processes up-to date? Are they used? What do the users feel about the process? and more. From my perspective I see Promapp as outstanding in its segment, or actually in its own segment as I have not seen another tool with the same functionality.

Pros:

The simplicity and usability, great collaboration features, sharing and SharePoint integration possibilities and of course excellent governance functionality. More advanced things as process timeframe and costing is possible and made easy.

Cons:

I think the advanced process professional might lack support for BPMN 2.0 and other features the more advanced process software's have but I understand Promapp does not have that as an aim, they have all the employees as a target group and the focus on simplicity, ownership and overview is more important.

Powerfull no code platform

Comments: We have a team of 5 people developing a Enterprise solution with K2. We are satisfied with the possibilities K2 gives us and are very content with the level of support whenever required. The customer service is personal, quick and helpfull.

Pros:

The platform is set-up with a data driven philosophy. It has a powerfull integration layer and data is your starting point for everything. As long as you understand the way of thinking of a developer, you can work with this platform. It is easy to learn. We have used it for a complex Enterprise level solution which it supports just fine. I like the options that you have to make it more flexible, like custom service brokers. Also the workflow engine is very powerfull. Last but not least the designer has quite a large amount of controls that can be used when building your views and forms.

Cons:

Troubleshooting / debugging your solution is a bit difficult. You need to place message boxes in your form to validate parameter / control values for example. Also finding where rules are called is difficult, although there is a 3rd party solution for this available which is very helpfull.

Robust, Flexible Development Platform

Comments: K2 is a robust and flexible platform but there is a bit of a learning curve associated with the product. Much work has been done to improve this initial experience, especially in recent releases. The latest version of the product is a major step forward in this regard. Also, I have worked with several members of the K2 support staff. Most of the individuals I've encountered are very helpful and excellent at quickly identifying problems and solutions. Occasionally, I have had some lackluster experiences with support, but that is often due to an entry level technician not escalating an issue as quickly as I would like.

Pros:

In a word, flexibility. This software is a great tool for end users in the business as well as IT professionals. The web based designer is very capable and the rules engine is powerful enough to rarely require custom solutions. The system is excellent with regard to 3rd party system integration and puts the power to develop custom solutions in the hands of more people. There also has been more attention paid to simplifying the administration of security within the system in recent releases. This should make it more practical to administer the platform for users throughout the enterprise to design/develop solutions.

Cons:

There is the occasional error when developing workflows/integrating them with Smartforms which do not show up until deployment. These errors are not always intuitive to resolve, but I have never run into an issue that didn't have a resolution.

Excellent product

Comments: The benefits of using K2 have been different for different units within the University. Some users feel that they saved money on other software purchased and others feel that they have robust and fill featured automation

Pros:

K2 is a powerful and feature-rich software for automation through workflows. Several schools and departments at IU use K2 for custom workflows.

Cons:

There is a step learning curve. Initially, some developers spent a lot of time figuring out the intricacies of the product, but after figuring out how to maximize results from these efforts, the developers have created some very complex workflows.

Foxtrot is an integral part of our daily operations and core maintenance.

Pros:

I love that I have the ability to completely automate my foxtrot scripts (schedule a batch file to launch foxtrot, foxtrot unlocks the workstation, performs the task, and re-locks the workstation). Mundane tasks that need to occur on a daily basis but are tedious to our employees are written as foxtrot scripts and scheduled to run in the middle of the night. Also, the wide variety of actions on hand when writing scripts often allows for several ways to accomplish any given task, and the act of writing a foxtrot script is intuitive to users with and without a programming background. We have used foxtrot to solve tiny, one-time issues as well as to aid in much larger, long-term applications. Foxtrot has become an integral part of our daily operations and core maintenance.

Cons:

I currently do not have any complaints about this product. Advancements are always being made and technical support is always friendly, professional, and knowledgeable.

Review of Promapp

Comments: Only used Promapp so the overall experience for that is very good. We are documenting process to ensure staff (and the organisation) know what they are or should be doing, to training new people, to capture institutional knowledge, and of course push accountability for process and Risks into the right business area and to the right people

Pros:

Ease of use, presentation of content (except Risk Module), the methodology for content

Cons:

Administration tasks for updating Roles, Users, etc needs to have more bulk load and update functionality. The Risk module is causing a bad name within our organisation for Promapp in general. It needs work and our person who manages that module is already in discussion with our Customer Success Manager

Business.........finally catching up with evolution!!

Comments: Promappian Explosion' is enabling the business world to finally catch up with human evolution by providing a 'visual representation of what we do'....suddenly the language barriers between an executive vision full of concepts and mission statements and the grass roots processes to deliver upon expectations have a common visual and intuitive system that transcends the hierarchy of a company organogram by tapping into the human DNA and the way we interpret the world. The 'Promappian Explosion' has also given rise to what I call the 'Cultural Evolution'....regardless of your position you are able to identify where you fit and how you contribute the business, the realisation that you are not an isolated cog in a large machine but an integral part and contributing factor to a business' success meets another evolutionary desire, that of belonging and being valued within the pack, I and you are replaced by we and us...in the main we interpret our world through visual means but we express our thoughts and beliefs through our language and there is noticeable positive shift in the vernacular used across the business...about the business. ProMapp is being embedded in the DNA of our business, an intuitive tool that speaks a universal language providing everyone opportunities to contribute in describing how we do what we do and to then allow positive critical analysis and continued improvement whilst creating an audit trail and improving the culture of the business is pretty difficult to argue against.......evolution at work.

Pros:

Simple, intuitive tool that connects the dots of how we do business.

Cons:

Closed protocol ca sometimes hinder business tailoring...but understandable.

Nintex for SharePoint

Comments: Nintex is the foundation of our workflow structure across a large organization. We could not achieve our SharePoint design requirements without Nintex.

Pros:

Much more flexible and customizable workflow solution for SharePoint. Much better form generator and much better customization for forms.

Cons:

Limitations on form activity. Documentation of form customization is weak. Some features do not work as anticipated.

Foxtrot makes routine tasks that cannot be automated with straight coding a breeze!

Comments: We have automated routine, redundant tasks - not to eliminate headcount, but to free up existing employees to do more interesting and beneficial things for the company.

Pros:

The flexibility of the actions Foxtrot can make against disparate systems is amazing. It does take some thought and trial/error to get things working just right, but in the end you can make Foxtrot almost as smart as a person sitting in front of the machine. The more routine the task, the better, but complex interactions are also possible.

Cons:

The biggest drawback is that Foxtrot still doesn't work against browsers other than Internet Explorer. And browser interactions against sites that use some frameworks on top of html are troublesome to impossible. This does limit some of the potential for automation, but it's more of an exception in most cases.

The Powerful Nintex

Pros:

Nintex has a wide range to tools such as Forms, Workflow and Nintex Live. I have mainly used Forms and Workflow within our SharePoint environment and it gives the user power to developer complex processes easily using the Workflow part of it. Forms then allows the user to create modern, sleek, dynamic forms to give a professional look and feel to the generic SharePoint form.

Cons:

My only Con was certain limitations with certain functionality but that was due to our environment version but we are due to upgrade so those cons should be removed.

Great Workflow Platform

Comments: We have been K2 customers for almost 10 years now, and have been very pleased with the product. Moving to the Cloud offering has been an ideal transition for us.

Pros:

The speed at which we can get workflows from design and testing in to production. The system is easy to use, and the feature set covers just about everything we are trying to accomplish. The support team is great, and always very helpful.

Cons:

Debugging workflows and SmartForms could use more descriptive, or even custom, error messages. Citizen developers are often overwhelmed by the more technical aspects of that process.
